Terms of service

The agreement between onTrainer and you, the coach. It does not govern what happens between you and the people you train.

1Who we are, and what this covers

In plain language

These terms are the agreement between onTrainer and you, the coach. They do not govern the relationship between you and the people you train.

In these terms, we, us and onTrainer mean that company, and you means the coach or studio that opens a workspace.

These terms apply when you create a workspace, when you use the coach web app or the coach mobile app, and for as long as your workspace exists.

2What onTrainer does, and what it does not do

In plain language

A workspace for running a coaching practice. It is not a messaging app, it is not a video platform, and it is not a medical device.

onTrainer provides a workspace where you manage clients, build programs, run a calendar and a credit balance, collect intake forms and check-ins, and, on the appropriate tier, receive health data your clients choose to share.

The service deliberately excludes several things, and you should not rely on them being added:

  • There is no messaging or chat inside the product. Conversation with your clients happens in whatever tool you already use.
  • There is no built-in video calling. A live session carries a meeting link that you paste, hosted by a third party you have your own relationship with.
  • There is no public API at launch.

We may change, add to or withdraw features. Where a change materially reduces what your tier includes, we will tell you before it takes effect.

3Your account and your workspace

You must be at least 18 and acting in the course of a trade, business or profession. onTrainer is a business tool and is not offered to consumers.

You are responsible for the accuracy of what you enter, for keeping your credentials safe, and for enabling and protecting two-factor authentication. You are responsible for everything done in your workspace under your credentials.

Each workspace is isolated from every other workspace. You may not attempt to reach, probe or interfere with data belonging to another workspace.

4Your clients, and your responsibility for them

You decide who you train and what you tell them to do. onTrainer holds the record, you make the judgement.

You choose whom to invite, what programs to assign, and what advice to give. We do not review, approve or supervise your coaching, and we are not a party to your agreement with your clients.

You are responsible for screening your clients appropriately before training them, including any medical screening your profession or your insurer requires. Intake forms and medical flags in the product are a record-keeping tool, not a clinical assessment.

For personal data about your clients you act as the data controller and onTrainer acts as your processor. The terms of that processing are in the data processing agreement, which forms part of this agreement.

5Subscription, tiers and payment

onTrainer is sold as a subscription in three tiers, Gym Coach, Hybrid Coach and Online Coach, billed monthly or yearly. What each tier includes is described on the pricing page, which also carries the current amounts.

Payment is taken by Stripe on its own hosted payment page. Card details are never entered on an onTrainer screen and never reach us. Your subscription renews automatically for the same interval until you cancel.

A subscription change applies when the payment provider confirms it, not when you request it. Mid-cycle changes are prorated for the days remaining.

The trial does not require a card. At the end of the trial you choose a tier, and the work you did during the trial stays with you.

6Changing tier, and what happens to your content

Move down a tier and nothing is deleted. Everything you built stays visible and becomes read-only until you move back up. One exception, and we warn you about it first.

On a downgrade, content that belongs to a higher tier remains visible to you and to your clients, but cannot be edited or newly assigned until you return to that tier.

The exception is health data. Leaving the Online Coach tier stops health synchronisation and permanently deletes the health history collected under it, including biometric series, derived risk flags and alert history. This cannot be undone. You are shown exactly what will be deleted and must confirm before the change is committed, and affected clients are notified separately.

7Acceptable use

  • Do not use onTrainer for anything unlawful, or to store content you have no right to store.
  • Do not resell, sublicense or rent your workspace, or share one workspace between separate businesses.
  • Do not scrape, bulk-export by automated means, or attempt to circumvent the limits of your tier.
  • Do not probe, load-test or interfere with the service or with other workspaces.
  • Do not upload malicious code, or content that is abusive, harassing or discriminatory.

8Content and intellectual property

Your programs, your forms, your client records and everything else you put into the workspace remain yours. You grant us only the licence we need to host, process and display that content in order to run the service for you.

onTrainer, its software, its design and its brand remain ours. Nothing in these terms transfers them to you.

If you send us feedback or suggestions, we may use them without obligation to you.

9Health data, and the limits of what it means

The numbers in the product are information, not a diagnosis. Nothing onTrainer shows you is medical advice.

onTrainer is not a medical device and is not intended to diagnose, treat, cure or prevent any condition. Health data synchronised from Apple Health or Health Connect is provided by the client, is not verified by us, and may be incomplete or wrong.

Risk flags and coach alerts are informational prompts to look more closely. They are not clinical findings, they are not an automated decision about anyone, and they do not replace your professional judgement or a qualified medical opinion.

10Availability and changes to the service

We aim to keep onTrainer available and working, but we do not promise uninterrupted service. Maintenance, third-party outages and events outside our control will sometimes interrupt it.

11Suspension and termination

You may cancel at any time. Cancellation takes effect at the end of the interval you have paid for, and your workspace becomes read-only after that.

If payment fails we will tell you and give you a period to settle before your workspace is restricted. While a payment is outstanding, your workspace may be limited to settling the invoice.

We may suspend or close a workspace that breaches these terms, or where we are required to by law.

After termination, you can export your data for a limited period, after which it is deleted. Retention periods are set out in the privacy policy.

12Changes to these terms

We may update these terms. When a change materially affects your rights or obligations, we will tell you in the product and by email before it takes effect, and you will be able to see what changed.

Every version is kept and dated. The version in force is named at the top of this page, and previous versions stay available.
